JOB TITLE:

  • Accounts Payable Specialist

DUTIES and RESPONSIBILITIES:

  • Monitor and management of the procure-to-pay process; ensure accuracy and timeliness of invoice entry pursuant to vendor terms and invoice due dates.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Responsible for entering high volume payables and maintaining accurate accounts payable ledger.
  • Maintain control over new vendor creation and updates; prepare 1099s, and ensure reporting is accurate and timely in accordance with current IRS regulations.
  • Reconcile payable reports each month as necessary to confirm all amounts paid were accurate.
  • Research and resolve discrepancies through review and audit of the payable ledger.
  • Maintains and enforces proper AP policies, practices, and internal controls to ensure company assets are safeguarded.
  • Participates in monthly close activities and performs month-end reconciliation of AP Aging Report to the trial balance in collaboration with other members of the Accounting Team.
  • Evaluates new vendors in relation to IRS 1099 tax reporting requirements; and, ensure receipt of the necessary documentation to accurately set up each vendor in the accounting system.
  • Assist Senior AP Manager in developing and implementing procedures and policies to ensure adherence to company guidelines and SOX compliance.

EXPERIENCE and QUALIFICATIONS:

  • Bachelor’s degree in accounting, finance, or relevant major required.
  • 2+ years of experience in an AP or Accounting role.
  • Financial/accounting software, specifically QuickBooks and/or Sage Intacct, experience is a plus.
  • A passion for cannabis with a desire to gain industry knowledge and/or experience.
  • Proficiency with Microsoft Office Suite, specifically with Excel.
  • Strong organizational skills with attention to detail.
  • Strong problem-solving and time-management skills.
  • Experience with accounting software.
  • Excellent oral and written communication skills to effectively communicate with various levels of the organization.
