JOB TITLE:

  • Accounts Receivable Specialist

DUTIES and RESPONSIBILITIES:

  • Apply all checks received to the appropriate customer account and invoices.
  • Review bank account activity to identify and apply any wires or ACH payments received.
  • Maintain tracking of deposits for compliance purposes.
  • Reconciles payments with the accounts receivable ledger and prepares reports on delinquent accounts.
  • Ensuring that invoices are generated and submitted to customers on a timely basis.
  • Set up accounts for new customers including gathering information and performing credit check/vendor reference process.
  • Work closely with Treasury and Accounting to communicate cash activity and issues.
  • Work closely with the A/R team; providing information on any short/overpayments received for follow-ups.
  • Ensure compliance with Sarbanes-Oxley requirements as well as company policies and procedures.
  • Ensures license numbers have been collected from all customers and that each sale is recorded under an appropriate license type.
  • Oversees the system of internal controls over respective accounting functions to minimize risk.
  • Responsible for managing all communications relating to invoices and billings.

EXPERIENCE and QUALIFICATIONS:

  • At least 3 years of experience with accounts receivable including invoicing, payment processing, and collections.
  • Minimum A.S. degree in Accounting or Business Administration; Bachelor’s degree highly preferred.
  • Experience with financial accounting and ERP systems required (SAP and/or Sage Intacct preferred).
  • Proficient in MS Excel (vlookups, pivot tables) and MS Office.
  • Must possess strong organizational skills and be highly detail-oriented
  • Must be able to take initiative and be an independent problem solver
  • Strong and clear written and verbal communication skills required
  • Must be 21 years of age or older.
  • Must be able to pass a comprehensive background screening.
  • Must be and remain compliant with any and all legal or company regulations for working in the industry.

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is frequently required to remain in a stationary position, move and/or position oneself, communicate, operate, and/or prepare, place, position objects, tools, or controls. 
  • The employee must occasionally move packages weighing up to 10 lb.
