JOB TITLE:

  • Office Manager

DUTIES and RESPONSIBILITIES:

  • Provide general administrative support for Department Managers, including mailing, shipping, answering the phone, running errands, and interdepartmental communication.
  • Oversee reception staff, which includes scheduling, performance reviews, timecard management, and day-to-day coaching and training.
  • Maintain par levels and orders for office supplies, food and beverage for break rooms, and other small wares, remaining within order parameters.
  • Track permits and expiration or renewal dates, ensuring the facility remains in compliance.
  • Organize and schedule meetings and appointments as necessary.
  • Partner with HR to update and maintain office policies as necessary.
  • Manage contract and price negotiations with office vendors, service providers, and office leases.
  • Implement and organize office operations and procedures.
  • Coordinate with the IT department on all office equipment.
  • Uses various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and/or format data and/or reports.
  • Provide support for regulatory inspections or other audits as assigned.
  • Assists with special events planning.
  • Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals, and reviewing industry publications.
  • Other related duties as assigned by the dispensary manager.

EXPERIENCE and QUALIFICATIONS:

  • 1-3 years previous experience in customer service, administrative, or front-desk role required.
  • 2+ years in a supervisory or managerial role with proven collaboration capabilities
  • Experience in cannabis preferred.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Hands-on experience with office machines (e.g. fax machines and printers).
  • Familiarity with email scheduling tools.
  • Excellent computer proficiency (MS Office – Word, Excel, and Outlook).
  • Strong interpersonal and analytical skills.
  • Outstanding written and oral communication skills.
  • Must possess high attention to detail, prioritization, time management, and organizational skills with a positive, goal-orientated attitude.
  • Must be at least 21 years of age.
  • Must possess a valid driver’s license and good driving record.
  • Must successfully complete a comprehensive background screening.

PHYSICAL DEMANDS:

  • Must be able to work seated/standing as appropriate at workstations for extended periods of time, maintain body equilibrium while climbing ladders, stairways, stooping, kneeling, crouching, and reaching, and use hands/fingers to hold, grasp, turn, pick, pinch frequently/constantly to complete tasks.
  • Must be able to navigate through corporate office environments with or without the use of mobility aids.
  • Must have the manual dexterity to complete job functions with or without accommodation
  • Must have visual acuity with/without job aids to perform activities such as reading, viewing a computer terminal, visual inspection involving small parts/details. Clarity of vision at 20 ft or more in day and night/dark conditions
